Answers to Inquiries Regarding the Call for Art Proposals (2nd and Final Set)

Answers to inquiries received by July 31, 2009 are as follows below.  Please reference these along with the answers to the first set of inquiries.

Please be aware that we cannot respond to individual inquiries concerning points that are not addressed in these inquiry answers or in the Guidelines for Applicants.

Proposal Content, Event Locations

  • Q1. It appears that each island has its own theme and concept.  Do we have to submit a proposal that fits that particular theme?
  • A1. There is no problem in submitting a proposal with a theme of your choosing.
  • Q2. Is it possible to submit a plan that involves establishing works in locations on multiple islands at the same time?
  • A2. Yes.
  • Q3. I am considering submitting a proposal with food as the theme.  Is this acceptable?  Can the proposal include charging customers a fee for food provided?  Also, please let me know about the procedures required by public health care centers and the rules that pertain to running a food and beverage operation.
  • A3. This kind of proposal is acceptable, and it is possible to include fees for providing food.  The Secretariat can assist in getting permission for the running of such an operation, but full responsibility will be born by the exhibitors.
  • Q4. I am considering a proposal that involves a dramatic performance.  Is there a set timeline per group for the process of setting up the stage, giving the public performance, and cleaning up?  Can we charge an admission fee for the performance?
  • A4. No set timeline has been decided upon.  You can charge an admission fee.
  • Q5. Please send me a drawing and inform me of the size of the place on Inujima that can be used for dramatic performances.
  • A5. The location is undecided.
  • Q6. Please let me know the places around the Takamatsu Port Area that can be used for exhibition of art works.
  • A6. These locations are still undecided.
  • Q7. Can we include transportation and lodging for the artist(s) among the expenses in our proposal?
  • A7. All expenses for art work production, including transportation and lodging, can be included in your proposal’s budget.
  • Q8. Please provide me with pictures and maps of the islands.
  • A8. Please look at our website where we have posted pictures and maps of the islands that we visited on the Art Site Observation Tour.

  • Q9. I am considering an Art House Project.  Please help me find such things as a floor plan, information about the height, etc. for the vacant houses that we may use.
  • A9. The vacant houses that are available have not yet been specified.  Please draft an abstract proposal for the planning stage.

Art Production Requirements

  • Q10. During the festival, when and for how long does the artist have to be present at the site?
  • A10. There is no requirement for the artist to be present at the site during the festival, so please feel free to decide when and for how long you would like to attend.
  • Q11. Is it allowed to produce elements of the artwork at an outside location and then assemble them at the art site, instead of doing all production and assembly at the actual site?
  • A11. Yes, this is allowed.
  • Q12. Will staff be provided for artwork production.
  • A12. Artwork production staff will not be provided by the Secretariat.  If you would like to seek artwork production volunteers from among the local community members, then we can discuss with you the topic of finding a local coordinator.
  • Q13. Will all of the artwork become the property of the festival organizers?
  • A13. Yes.
  • Q14. It seems that the artwork will only be displayed during the period of the art festival.  What will happen to the pieces after the festival has concluded?
  • A14. That decision will be entrusted to the festival’s organizers.

Documents for Submission, Screening Method

  • Q15. Regarding the documents for submission ― (1)application form, (2)Artwork Proposal, (3)curriculum vitae/references, and (4) CD-ROM with an electronic copy of (1)~(3) ― is it necessary to submit (1)~(3) as well as (4)?  Is it necessary to submit (1), (2), (3), and (4) for each plan if I submit multiple plans?
  • A15. Please submit both a stapled packet containing (1)~(3) and a CD-ROM containing (4).  If you submit multiple plans, then please submit the stapled packet ((1)~(3)) separately for each plan.  You may save multiple copies of (4) onto a single CD.  If you save multiple copies of (4) onto a single CD, then please make a note to that effect on the “Comments” section of the Application Form.
  • Q16. Regarding the second screening, can the interview be conducted by telephone?
  • A16. A telephone interview is possible instead of a face-to-face interview.
